10 Tasks an MSP Should Delegate Before Hiring Another Engineer
Before hiring another engineer, inspect how much technical time is being used for coordination. Delegate repeatable, documented work that does not require engineering judgment or privileged access. Keep incident decisions, security exceptions, and complex troubleshooting with authorized specialists.
Ten tasks to examine first
These are candidates for delegation, not a promise that one person should own all ten. Split service coordination, customer communication, and technical work according to experience and access.
- 1. Initial ticket categorization and completeness checks
- 2. Customer status updates using approved service language
- 3. Scheduling and dispatch coordination
- 4. Vendor and warranty follow-up
- 5. Knowledge-base formatting and version tracking
- 6. Asset and contact-record maintenance
- 7. Runbook-based monitoring acknowledgement and escalation
- 8. Meeting notes and action-item tracking
- 9. Invoice or purchase-order information collection
- 10. CRM pipeline updates and renewal follow-up preparation
Set boundaries before handing work over
For each task, record the trigger, expected output, systems used, permitted actions, and when it must be escalated. For example, a coordinator may confirm a ticket contains device and contact details, but should not independently diagnose a security incident. A candidate with verified help-desk or NOC experience may handle more technical work under the MSP's controls.
Start with a small queue and review ticket notes, customer updates, and escalation timing. Expand only when the runbooks and supervision prove effective.
Measure recovered capacity, not just activity
Compare engineer time spent on coordination before and after delegation, along with ticket quality, customer response, and rework. If engineers still need to correct every update, the scope or instructions need improvement. If the handoff is clean, they can spend more time on escalations and project delivery.
