Newsletter and marketing choices
Use Marketing Communications in Account Settings to opt in separately to newsletters and promotions. The checkbox is optional and initially unchecked. Declining or withdrawing marketing consent does not stop necessary account, contract, payment, security, or support messages. VirtuPinoy records the wording version, source, time, and choice. Withdraw using Account Settings, the email unsubscribe option, or Support; a minimal suppression record may remain.
How long records are retained
Detailed Tracker work diary and activity records are retained for 2 years after the work date. Actual screenshots or optional camera images are retained for no more than 90 days after capture. Approved hours, invoices, payment and accounting records are retained for at least 5 years after the relevant transaction or contract period. Security logs are generally retained for 12 months. Ordinary account profiles are generally retained for up to 2 years after closure. Active disputes, investigations, legal, tax, audit, or contractual obligations may extend retention. See the Privacy Policy for exceptions and secure disposal.
Updated policies and agreement versions
Policies updated October 5, 2026 do not automatically replace the agreements you previously accepted. Material changes affecting fees, payments, monitoring, personal-data categories or sharing, disputes, or responsibilities normally require review and renewed acceptance for the affected service. Minor corrections and clarifications normally require notice only. Marking a policy notice as read is separate from accepting a contract or granting marketing consent. Accepted versions and their acceptance history are preserved.
Creating an account
Open Create Client Account and submit accurate company and contact information once. You must be authorized to act for the company. VirtuPinoy reviews the account before access to protected talent profiles is available.
Password requirements
Use at least 8 characters with one uppercase letter, one lowercase letter, one number, and one special character. Never share your password.
Logging in
Open Client Sign In and enter your normalized business email and password. Pending accounts can view their review status but cannot view contractor profiles.
Resetting a password
Choose Forgot Password, or Set Up My Password for initial setup. Client links expire after 30 minutes and can be used once; requesting a replacement invalidates the earlier link. Create a strong password and sign in again. Existing sessions are signed out. Never share your password or reset link.
Why client approval is required
VirtuPinoy verifies each company to protect contractor information and make sure candidate access is connected to a genuine hiring need.
Completing a company profile
Provide accurate company, industry, business, schedule, budget, tools, and staffing information. Staff may request more information before approval.
Requesting contractors
Use Hiring Options to browse approved talent, post a job for applications, or request managed recruitment. Provide the role, skills, responsibilities, schedule, time zone, budget, and start date in Hiring Requests. New requests require VirtuPinoy's initial approval before candidate review.
How Hiring With VirtuPinoy Works
Submit a hiring request, review approved talent or applicants, interview, and select a professional. VirtuPinoy then coordinates the applicable agreements, payment verification, and onboarding. Selection alone does not activate work; required acceptance, verification, and payment conditions must be complete.
Reviewing contractor profiles
Approved clients can review published profiles available to them in Browse Talent, Recommended Talent, and Saved Talent. Only approved professional information is shown. Private contact details, government identifiers, banking information, and internal staff notes remain protected. Use profiles only for authorized evaluation and engagement.
Reviewing resumes and profile content
Use View Resume or approved profile content when available. Client-facing résumés and work samples are reviewed for safe display. Original private documents and unapproved replacements are not available to clients. Do not scrape, republish, or share protected profile information.
Saving, comparing, and declining candidates
Use Save to Shortlist, Saved Talent, and Compare Candidates to organize your review; you can compare up to four candidates. Declining applies to your hiring context and does not reject the contractor globally or affect other clients. Candidate selection and contract activation are separate steps.
Requesting interviews
Request Interview from a talent profile, or select an applicant for an interview in Job Applicants. Include the related hiring request, schedule, and time zone. VirtuPinoy coordinates required next steps. An interview request does not guarantee availability or an assignment.
Direct hiring, payment, and conversion
Keep hiring, contracting, and payment within the VirtuPinoy process unless authorized in writing. The Client Agreement restricts bypassing VirtuPinoy for six months after the later of presentation, interview, or engagement end for candidates introduced through VirtuPinoy. A documented prior relationship disclosed before presentation is excluded. Request written conversion approval and the applicable disclosed conversion terms before arranging direct engagement.
Booking meetings
Use Interviews & Meetings or Schedule a Call. Include your time zone, preferred time, and meeting purpose, then review confirmed details and notifications. Contact Support for coordination problems or changes you cannot make through the available meeting options.
Contracts and Statements of Work
Open Contracts to review the full agreement, scope, fees, schedule, notice terms, and required acceptance. Client and VirtuPinoy acceptance of the applicable Statement of Work is separate from contractor acceptance. Material changes need written approval and may require a new version and fresh acceptance. Active clients may request pause or end, and paused clients may request resume. VirtuPinoy reviews every lifecycle request before it takes effect.
Client reports
Client Reports summarizes only your company's hiring, candidates, engagements, meetings, contracts, invoices, verified payments, tickets, and activity. Use filters or download a private CSV export for authorized business use. Contractor payout amounts and internal margins are not part of your payment history.
Notification preferences
Adjust optional hiring, contract, engagement, meeting, and support emails in Notification Preferences. Security, legal, and critical billing notices remain enabled, and portal notifications remain available. Optional newsletters require a separate affirmative opt-in; use the unsubscribe option or contact Support to withdraw marketing consent.
Payments and invoices
Pay VirtuPinoy using the instructions on your invoice. Monthly services are billed in advance, and each prepaid service period must clear according to its terms. After a manual transfer, email support@virtupinoy.com with the invoice number, amount sent, payment date, and transaction/reference number; provide proof when requested. The invoice is Paid only after cleared funds are received and verified. Never pay contractors directly or send banking or payment-provider passwords.
Support tickets and escalation
Use Support Tickets, Contact Support, or the VirtuPinoy Support Assistant. Include the affected page, hiring request, contract or invoice reference, a clear description, and urgency. Follow the ticket for replies. The assistant uses Help Center guidance and can route unresolved questions to support. Do not include passwords, banking credentials, or unnecessary sensitive information.
Replacement requests
Contact Support from the related engagement or contract and provide objective examples of the concern. VirtuPinoy reviews performance, availability, transition needs, and the replacement terms in your Statement of Work. Timing and fees depend on the agreed terms and candidate availability; a request does not guarantee an immediate replacement.
Updating account details
Use Company Profile or Account Settings for available updates and keep authorized contact information accurate. Contact Support before changing the email linked to secure access or when an important account change needs staff review.
Account suspension or closure
Suspended, rejected, removed, or closed accounts cannot access protected profiles. Contact Support to review the status and next steps. Closure does not automatically erase contract, payment, security, or legally required records.
Updating an approved hiring request
New hiring requests require initial approval before candidate review. After approval, job updates save immediately and material changes refresh matching. Updating a job does not amend an active contract, agreed rate, or Statement of Work; engagement changes require the applicable written approval.
Understanding talent match scores
Match scores, strengths, gaps, and rankings support evaluation of approved profile information against job requirements. They do not guarantee suitability, availability, performance, or hiring success. Review the profile and interview the candidate. Ask VirtuPinoy for manual recruitment assistance or clarification when needed.
Interview messages
Private Interview Messages become available after a candidate is selected for an interview. Discuss the role, availability, and interview arrangements within the portal. Contact details, external links, social handles, and addresses are blocked. Closed conversations remain read-only; contact Support for further help.
When work can begin
Candidate selection does not authorize work to begin. VirtuPinoy confirms required agreement acceptance, verification, onboarding readiness, and payment conditions before activation. For prepaid services, the required initial invoice must be paid with cleared funds verified. Confirm access, scope, schedule, and the approved start date with VirtuPinoy.
Scope, access, and client responsibilities
Provide agreed tools, documentation, individual accounts, minimum necessary access, timely decisions, and feedback. Follow the approved scope and security requirements. Changes to scope, rate, or material schedule terms require written approval; do not promise direct compensation or bonuses outside the agreed channel. Report performance concerns with objective examples and revoke access promptly during offboarding.
Payment verification, partial payments, and records
Use Invoices, Payment Status, and Payment History to review your company's recorded status. Reporting a transfer, providing proof, or returning from a payment page is not verification. A partial payment or transfer shortfall remains due. Download the invoice and available verified receipt or settlement record. Contact Finance through Support with the invoice reference if a status or amount is incorrect.
Weekly hourly invoices and payment deadline
For configured hourly contracts, open Hourly Billing to review current estimates and finalized weekly invoices. Weeks run Monday–Sunday in UTC. The weekly schedule is 5 days to review, then 3 days to pay to continue tracking. Client invoices include the agreed base hourly charge plus the agreed service fee (25% for new hourly contracts; existing contracts retain their agreed rate). Active and idle recorded time, including billable manual entries, is included unless rejected or disputed during review; hours above the weekly limit are not automatically billed. After review, PayPal checkout is available for three days. New saved-method consent authorizes collection when the five-day review ends; earlier authorizations keep their original collection date. The portal shows the exact date. Automatic billing also requires enabled payment controls. Disputed entries remain on hold. Follow the invoice payment instructions.
Reviewing the Work Diary
In Hourly Billing, select Open Work Diary for the related contract. Choose a week and day, then review time entries, activity, and captured screenshots or notes. Records are grouped in UTC; screenshots appear only when captured in Tracker. Weekly invoices use recorded time, including manual entries, unless rejected or disputed during the five-day review. Load additional records when prompted and report discrepancies to Support.
Overdue hourly invoices and tracking suspension
An overdue weekly hourly invoice can suspend the contract and block further tracking. Follow the payment instructions and contact Support so Finance can verify outstanding invoices. Clearing one invoice does not clear other overdue weeks. A client pause, ended contract, or other lifecycle restriction is not removed by payment; VirtuPinoy must confirm readiness to resume.
Invoice disputes and refunds
Under the Client Agreement, submit a specific, good-faith invoice dispute within 7 calendar days after receipt. Include the invoice reference, disputed amount, reason, and supporting records. Undisputed amounts remain payable. Refund, deposit, cancellation, and prepaid balance treatment follow the accepted agreement, Statement of Work, and invoice terms; no automatic refund is promised. Contact Support for review.
Pausing, ending, and offboarding
Submit the available lifecycle request from Contracts and wait for VirtuPinoy's decision and effective date. Follow the notice and termination terms in your Statement of Work. Ending the master Client Agreement on 30 days' written notice does not automatically end active Statements of Work. Complete handover, access revocation, and outstanding payment obligations. Private end-of-contract feedback is available for 14 calendar days after VirtuPinoy marks the contract Ended.
Confidentiality, privacy, and security incidents
Use information only for authorized hiring and engagement purposes. Do not scrape, republish, share credentials, or disclose confidential records. Report suspected privacy incidents or data misuse promptly to privacy@virtupinoy.com; contact support@virtupinoy.com for account or access concerns. Personal-data access or correction requests may require identity or authority verification.
